Strong Families: Preventive Service program is a family support program for families facing challenges which can impact the ability to effectively parent their children and to keep them safe from harm. The program is designed to assist families in identifying and addressing their individual challenges and the impact on their parental lives. As the program’s Receptionist, he/she will serve as the initial point of contact with the public and with the families and will be expected to manage the administrative and clerical functions of the office/site.Major Responsibilities/Activities

  • Assist with overall clerical and administrative functions including answering phone, sorting and distributing mail, scanning, photocopying and scheduling appointments and meetings.
  • Manage meeting space calendar.
  • Staff office reception: answer phones, welcome and direct visitors.
  • Maintain reception area and common spaces.
  • Responsible for case record filing and maintenance; preparing of open and closed files.
  • Maintain supplies; handle purchasing requests.
  • Reconcile purchase card and petty cash accounts; expense reimbursement requests, metro card requests.
  • Data entry as assigned for all program systems (CARA, Connections, PROMIS, ASARA)
  • Assist to maintain training databases and run reports
  • Liaise with other agency departments including IT, HR, finance and training.
  • Coordinate events and special projects as requested.
  • Responsible for ensuring compliance with all building fire drill.
  • Other duties as assigned.

Minimum Requirements

  • High school diploma or equivalent required
  • One year prior experience as an Administrative Assistant/Office Manager a plus.
  • Front Desk Reception experience preferred
  • Proficiency with Microsoft Office, Excel and Word; willingness to learn program specific databases.
  • Familiar with data entry and running reports.
  • Strong verbal and written communication.
  • Bilingual in English, Spanish, Haitian Creole preferred
  • Strong interpersonal skills and ability to maintain confidentiality.
  • Experience working successfully in multi-cultural environments serving vulnerable or underserved populations.
  • Ability to perform as part of a team.

Salary Range : $21.97/hr to $25.82 /hrLocation384 Bridge Street Downtown Brooklyn 11201Benefits
