The Front Desk Administrator operates multiline telephone system to answer incoming calls and directs callers, greets customers and visitors, and directs to appropriate personnel and supports office staff. Duties include a wide variety of responsibilities, as well as assisting your office manager, managing broker and agents as necessary. You are expected to maintain a professional appearance and manner. You may be assigned additional tasks not covered here and must be able to maintain focus and motivation even when not being directly supervised.
Throughout the day in addition to handling the phones, all MLS work, email management, processing checks and walk-in traffic, the administrative assistant has to email all agents who receive brochures/packages/anything else that was dropped off as it comes in, complete the daily/weekly checklist and ensure the office looks presentable at all times.
Overview of responsibilities: Answer phones, direct calls, assist agents and their clients Update and inputting listings into the MLS and/or DMS Enter Warranty information into portal Prepare Listing packets Prepare and distribute weekly eblasts: Open Houses, Caravans, and New Listings Learn all Ansley related systems and tools and able to provide training to agents as needed Respond to email in a prompt manner Manage conference room calendar Manage Agent on Duty schedule Wipe down conference room Empty trash in kitchen, floor desks and bathrooms as needed Order and organize office supplies Clean/stock kitchen and shared spaces Display marketing materials in the copy/mailroom and front desk area Check and distribute mail Process agent billables in DMS Refill paper in printers and copiers- email faxes for agents Accept and properly direct leases, checks and contracts Issue signage, lockboxes and manage inventory Prepare weekly sales meeting notes and distribute Assist with training, IT request, and setup audio/visual equipment Setup parking and access cards Fill Merchandise requests Upload receipts into Certify expense reporting software
