Job DescriptionThis is a high profile position for an individual who routinely exercises good judgment and exceptional problem-solving skills while maintaining positivity in a fast-paced environment. The General Community Manager is accountable to the Director of Associations and the VP, Community Lifestyle and Hospitality and is expected to create balanced scorecard successes. The General Community Manager is to ensure that the properties are managed in compliance with Minto Communities standards and practices. The General Community Manager will be empowered to perform the job with a wide degree of creativity and drive brand culture.Leadership:

  • Lead a single or group of management companies and portfolio/property managers in solving issues within their association and/or developer groups
  • Maintain a relationship with the various associations when applicable, other Board of Director members, and be the link between management company employees and the developer
  • Provide leadership and direction to the property management teams to ensure strict adherence to all applicable standard policies, procedures, and programs
  • Possess strong communication skills and ability to give presentations, lead meetings, and be available to attend monthly board meetings and actively participate in resident events. This may involve working in the evening as needed
  • Keep current with industry concepts, practices, and procedures while fully aligning with the individual community’s concept
  • Demonstrate ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action
  • Effectively convey ideas, images, and goals to a diverse group of personalities and hold them accountable for desired outcomes

Association Structure and Financial Management:

  • Working knowledge of federal and state laws governing the operation of community associations.
  • Final approval of all monthly expenses to ensure timely payment to avoid penalties and take discounts when available
  • Review and approval of deficit funding requests
  • Monitor association cash flow projections on a monthly, quarterly & annual basis
  • Understand financial goals, operate assets in developers’ best interest in accordance with the board’s policies
  • Review and supervise portfolio/property managers in preparation of the annual budgets in a timely and accurate manner
  • Review and interpret reserve analysis and advise on funding
  • Oversee the architectural review processes for the communities according to developer standards.
  • Provide oversight for vendor/contractor communications concerning scheduling, billing, vendor relations, and certificates of insurance.

Daily Operations and Customer Experience:

  • Respond to escalated owners’ and residents’ inquiries, concerns, and issues and resolve them in an orderly fashion in conjunction with management company and on-site association personnel
  • Ensure that the amenities are fully activated on time and to standard every day. They are a critical part of the sales effort and must be used as a tool
  • Ensures the confidentiality and maintenance of all important documents from owners, tenants, residents, and lawyers
  • Support on-site management to prepare packages and mail outs to the board of directors and residents for upcoming meetings and assists manager with the financial and management reports
  • Manage the association turnover process with assistance of the management company
  • Institute a system to ensure miscellaneous license renewals are completed within statutory timelines and inspections on the buildings, alarms, elevators, common area structures, etc. are completed on the required frequency
  • Support property in effective updates of community website
  • Routine inspections to ensure community appearance meets Minto standards in regards to cleanliness, landscaping, security procedures, lake management, and model park areas
  • Routine service audits performed with feedback given to management
  • Other duties within the scope, spirit and purpose of the job, as requested by management
  • Serve as developer representative on association boards and completes associated duties of that position
  • Proof and edit all community communication to be consistent with Minto and brand requirements.

Education: A post-secondary education is desired

  • Certified Association/ Property Manager license is required.
  • A bachelor’s degree in business or hospitality/tourism would be preferred.

Experience:

  • A minimum of five to ten (5-10) years of relevant work experience in a similar role is required
  • Five years of on property Management experience, preferred
  • Active Adult 55+ Community experience preferred
